The Constitution of The Kingston Diamonds Female Ice hockey Club
1.Name of the Club
The name of the club shall be Kingston Diamonds Female Ice Hockey Club.
2.Affiliation
The club shall have the power to affiliate to any appropriate national body and to any other external organisation with similar objectives in full or part.
3.Base
The club shall be bsed at the Hull Arena, Kingston Street, Hull, HU1 2DZ
4. Objectives of the Club
a) To organise, developand promote both junior and senior women's ice hockey consistent with the aims and objectives of the English Ice Hockey Association, (EIHA).
b) To develop ice hockey players for the benifit of the ice hockey club
c) To raise and provide financial support directly or indirectly for the benifit of both junior and senior ice hockey and the club in particular
d) The club will be a non-profit organisation.
e) The club is working to promote the health and fitness of all female players by taking part in regular exercise including off ice training before each ice session
5. Managment
The entire control and management is vested in the following officers
1)Chairperson
2)Vice-Chairperson
3) Secretary
4)Registration Secretary
5) Treasurer
6) Child Protection Officer
7) Head Coach
8) General Committee Members, without porfolio, as deemed necessary.
All members are to elected annually at the Club's Annual General Meeting. Committee members shall hold office for twelve months and all are eligible for re-election
The committee shall have the power to co-opt further members as and when deemed necessary.
6.Equal Oppertunities Statement
The club shall have no polictical bias or affiliation, shall be inter-denominational and provide ice hockey for memebers regradless of race, colour, religion, sexual orientation, mental or physical disability, or age and will not tolerate behaviour from is members that is contrary to this ideal. However in order to operate all players must be able to demonstrate the minimum level of ice skating ability as prescribed by the EIHA Level 6 standard. To ensure this policy the Chairman will also have responsibility as Club Equality Officer in accordance with current EIHA guidelines.
7.Child Protection
KDFIHC has a duty of careto safeguard all children involved with the club form harm. All children have the right to protection, and the needs of disabled children and others who may be particularly vulnerable must be taken into account. KDFIHC will aim to ensure the safety and protection of all children involved in the club through adherence of the Child Protection guidelines issued by the EIHA and adopted by the club. For the avoidence of doubt a child is defined as a person under the age of 18 (The Children Act 1989)
1)Policy aims
The aim of KDFIHC Child Protection Policy is to promote good practice and to provide children and young people with appropriate safety and promotion whilst in the care of the club. The policy also promotes all staff and volunteers to make informed and confident responses to specific child protection issues.
2) Child Protection Officer
The Child Protection Officer shall also be responsible for ensuring that all Coaches, Team Representitives, Club officals and anyone else who have direct contact with junior team members ages 18 or less has a Criminal Records Bureau (CRB) Check.
- All Child Protection issues will be recorded and notified to the Child Protection Officer.
- The Child Protection Officer's details will be avaiable in the Player's Handbook. The Managment Committee with appoint a Child Protection Officer who shall ensure that all child protection legislation and guidelines are complied with. The role shall form part of the Club's Management Committee.
8.Players Membership
All registered player, (with the EIHA), are automatically granted membership of the club. Such members shall pay the annual membership fee at the time of registration with the EIHA. All membership fees are to be agreed annually by the committee. Further charges for ice time and league fixtures will be made and collected monthly on the date or dates published by the treasurer and approved by the Committee. Membership will at all time be subject to acceptable conduct on the ice and elsewhere. Acceptable conduct will be determined by the committee.
Members play Ice Hockey entirely at their own risk and no claims can be made against the club, committee members, coaches and team managers.
The KDFIHC will conform to the rules and regulations as laid down by the EIHA.
All league players must be registered annually with the EIHA by the official player registration document. No player shall be deemed registered until the Player's Name has been officially added to the appropriate team list or a licence card has been received back from the EIHA registration secretary. No player shall be allowed to play unless registered and insured.
9.Voting Membership
The right to vote at club committee meetings and at the Club AGM shall be limited to :-
i. Registered players who have reached the age of 16 by the day of the vote
ii. The parent/guardian of playing members under sixteen years of age on the basis of one vote per plaing memeber.
iii. Officers of the club
iv. Registered minor officials of the club.
v. All members of the executive committee that do not qualify under (i), (ii) or (iii)
NOTE
a) Members attending trial classes i.e. beginners periods only, shall not be deemed full members and their parents/guardians will not be entitled to vote.
b) No individuals can have more then one vote.
10.Secretary
The club shall appoint a secretary and regulate their duties. They shall summon, attend and keep a correct record of all the meetings on the committee and the members. They shall be empowered with the signature and/or the chairperson to expend the assests of the club.
11.Treasurer
The club shall appoint a treasurer and they shall keep the financial affairs of the club in proper order. Assisted by the secretary they shall keep accurate records of all financial transactions and prepare an annual balance sheet for the chair person and keep the bankbooks.
12.Annual General Meeting
An annual general meeting of members shall be held each year on the month of June and the secretary shall be responsible for posting notice of the same on the notice board one month prior to thereto.
13. Extra Ordinary Meeting
An extra-ordinary meeting of the members may only be called by the secretary or the chairman for urgent special business on the direction of the committee, or by signature of twenty members demanding the same in writing to the secretary. The secretary shall notify all members by post, giving fourteen days clear notice.
14. Meetings
The committee shall hold meetings monthly or when deemed necessary.
15. Auditors
The annual general meeting shall elect Auditors who shall be granted free access to all books and documents and shall certify to correctness of the accounts or comment on the same.
16.New Rules
The committee shall have power to incorporate with the about new rules approved by them, but no alteration of the general rules shall be adopted save at the Annual General Meeting of an Extra-ordinary General Meeting.
17. Chairman
The chairman shall occupy the chair if possible at an Annual General Meeting. At an Extra-ordinary General Meeting the chairman shall take the chair. At an Extra-ordinary General Meeting and committee meeting the chair shall, if votes are required, have a casting vote.
18.Club Rules
The quorum of a Committee meeting is to be at least seven committed members. The seven must include at least the Chairman, Secretary or Treasurer.
a) No member shall promote, organise or take part in anyice hockey activity without the authority of the committee.
b) No person shall be accepted for Ice Hockey training, or match play, without application to the registered Team Coach or Manager of that age group.
c) No registered player(s) shall be allowed to play or practice with any other club without the authority of the committee.
d) No team shall be allowed to play any player(s), other then those registered to that team, without the authority of the registered coach or manager of that team.
e) Any member ebing two months in arrears with their annual subscription will be approached by the Team Manager, and may be suspended from playing and training unless a satisfactory explanation is given.
f) The committee shall have the right to suspend or expel any member who knowingly and wilfully violates any club rule(s), for any conduct considered detrimental to the good order and governement of the club. Before any member is expelled, they will be summoned to appear before the committee to give an explanation in person, or in writing, within fourteen days of the charge(s) against them, if they so wish.
g) A disciplinary committee, if required, will be informed by the chairman and non playing members of the committee.
h) Any member representing the club must be a member of the committee and authorised by the committee.
